    The guaranteed maximum amount in case of travel cancellation or travel modification is mentioned in the Special Terms and Conditions of your contract. (Art 2.2 and 3.2)

    A wide range of covered reasons for cancellation, including health problem, accident, death, economic dismissal, visa refusal, re-examination, etc. (Art 2.3) Only bookings concluded through the platform www.ardennes-etape.be are covered.

    Your policy is valid during the period mentioned in the Special Terms and Conditions (Art. 1.4)

    Your policy is valid in Belgium (Art 1.3)

  • What are the restrictions of your policy?

    Only the accommodation and leisure costs which have been booked through the platform www.ardennes-etape.be are covered (Art.1.4.2°)

    A stay in Belgium is covered as from 1 night. (Chapter 4)

    Some events /incidents are excluded (Chapter 4).

  • How can you reach Europ Assistance?

    In the event of cancellation or modification of your trip, please inform Ardennes Étape as soon as possible in order to limit the cancellation or modification fees. Ardennes Étape will pass on the request to the distributor who will provide you with the forms to be filled in to submit the cancellation request.

General terms for cancellation insurance

  • Art. 1.Conditions of application of the temporary cancellation policy of Ardennes Étape

    Only the expenses listed below are covered, provided they have been made via the Ardennes Étape platform and this up to a maximum of 10 000 EUR per person and per booking:

    • 1. Accommodation costs, i.e. cancellation or travel modification costs relating to the rental of accommodation for the duration of the trip, stay or travel, and which, pursuant to the contractual conditions attached to the trip or stay, are invoiced to the insured before his/her departure on the journey. These costs also include optional costs that are part of the accommodation booking, such as parking costs, restaurant costs (breakfast / half board / full board), safe deposit box rental costs, internet connection, extra bed, transfer costs to and from the railway station or airport, pet reception, etc.
    • 2 Leisure costs, i.e. cancellation or travel modification costs relating to leisure activities during the insured's trip or stay (internships, lessons, competitions, shows, events, excursions, etc.) and which, pursuant to the contractual terms of the leisure activities booked, are charged to the insured prior to his/her departure on the trip.

    1.2 Definitions

    Where used in the Terms and Conditions of this agreement, the words shall have the meaning defined below.

    • 1° The policyholder

      The underwriter of the agreement, Ardennes Étape.

    • 2° The insured persons

      The persons who are named in the Special Terms and Conditions in the list of “Beneficiaries”, under the condition that they are residents of Belgium, the Netherlands or the Grand Duchy of Luxemburg, where they have their legal permanent address (domicile)

      For each individual household, at least the name and contact details of a responsible named person shall be provided, as well as the number of participants for each household before coverage is activated.

      In this policy, the insured persons are also referred to as “you”.

    • 3° The insurer

      Assistance SA, Insurer under French law with registered office at 2, rue Pillet-Will in 75009 Paris, France (451 366 405 RCS Paris), authorised under code number 0888 for the branches 1, 9, 13, 16 and 18 under supervision of the Belgian National Bank, 14, boulevard de Berlaimont, 1000 Brussels.

      In this policy, the Insurer is also referred to as “we” and “us”.

    • 4° Permanent residence

      The address stated in your entry in the municipal registers or any other administrative register replacing it. The place of residence extends to all premises that belong to that address (home, garden, park, annexes, garages, stables).

    • 5° Guarantee

      The set of assistance services to which we are contractually committed. Any amount mentioned in this agreement (guaranteed reimbursement, guaranteed charge, etc.) includes all taxes (ati).

    • 6° Illness

      A sudden change in the insured person’s state of health not caused by an accident and duly verified by a medical practitioner, and which requires medical treatment and which has a sudden and unforeseeable character that makes any performance of the concluded travel contract impossible.

    • 7° Bodily injury (person)

      Any impairment of the state of health caused by a sudden and fortuitous event occurring outside the body and not intentionally brought about by the insured person, which causes an objectively verifiable bodily/physical lesion and which makes any further performance of the concluded travel contract immediately impossible.

    • 8° Dismissal for economic reasons

      Dismissal for economic reasons means dismissal for a reason related to the situation of the company and therefore unrelated to the employee as an individual. It must be due to economic difficulties, technological changes or a necessary reorganization of the company’s activities.

    • 9° Partners

      Partners include both married persons domiciled in Belgium and living under the same roof and unmarried persons domiciled in Belgium and living under the same roof in conjugal form, including legal cohabitants.

    • 10° Immobilising accident (vehicle)

      Any incident in which the insured vehicle is involved in a collision or an impact against a fixed or moving object, turns over, falls or skids off the road or is involved in a fire, whether or not the vehicle is being driven at the time, and having for immediate consequence that the vehicle is not fit for circulation on the road or making it dangerous to do so according to the provisions of the traffic regulations.

    • 11° Degree of relationship

      The degree of relationship is calculated by counting upward to the common ancestor of a family and downward from them to the other relative.

      E.g., two brothers are relatives in the 2nd degree; an uncle and nephew are relatives in the 3rd degree.

    • 12° Claim

      Any fortuitous event that gives a right to the guarantees of this policy.

    • 13 ° Act of terrorism

      Terrorism means a secretly organized action, or the threat of such action, for ideological, political, ethnic or religious purposes, carried out by individuals or groups and taking the form of attacks on individuals or the total or partial destruction of the economic value of corporeal or incorporeal property, with a view either to creating an impression on the public, creating a climate of insecurity or exerting pressure on the authorities, or to preventing the circulation and normal working of a service or business and gaining media publicity.

    • 14 ° Natural disaster

      A natural disaster is a sudden and catastrophic event of natural origins which has destructive consequences on a large scale Natural disasters are events caused by the atmosphere or land affecting the country, in particular floods, tidal waves, hurricanes, drying or expansion of land (extreme droughts), earthquakes, landslides, volcanic eruptions, landslides, land subsidence. For the purposes of this Agreement, rain and snowstorms are not considered natural disasters.

    • 15° Serious damage at the permanent residence

      Damage which involves the intervention of the public emergency services (fire brigade, civil protection, police), due to a fire, water damage, explosion or implosion.

    1.3 Geographical scope

    The guarantees are limited to Belgium.

    1.4 Duration

    • 1° Duration and end date of the policy

      Without prejudice to what is provided in point 3°, the agreement exists as from the signature of the pre-signed policy or insurance application by the policyholder. The agreement is subscribed for the duration stated in it by the policyholder. In any case, the duration of the contract is less than 90 days. Trips of 90 days or more cannot be guaranteed by temporary cancellation insurance Ardennes Étape.

    • 2° Start of the cover

      Without prejudice to what is provided for in 3°, the guarantee enters into force on the date specified by the policyholder in the Special Terms and Conditions of the contract or in the insurance application, provided that the premium was paid at the latest on the day preceding this date. If the date is not mentioned, the guarantee will take effect at 0 am on the day following the day on which the premium was paid. In any case, the guarantee ends at the start of the trip in question.

      Travel and stays that the insured has reserved before the subscription of Ardennes Étape temporary cancellation insurance and with a date of departure for the trip or data of start of the stay less than 30 days after the date the Ardennes Étape temporary cancellation insurance takes effect, are not covered

    • 3° Right of withdrawal

      If the contract is underwritten for more than 29 days, the policyholder has the option of cancelling the contract by registered letter within 14 days of the insurer's confirmation of receipt of the insurance application or the pre-signed policy, with immediate effect on the day of notification. We have the same right within the same period, our cancellation taking effect 8 days after the notification.

    1.5 Termination

    The agreement may be terminated:

    • 1° By either party in cases named in 1.4.1° and 1.4.3°
    • 2° By the policyholder's beneficiaries in the event of death, at the latest within 3 months and 40 days from the date of death.
    • 3° By the policyholder:
      • if we cancel part of the guarantee.
      • if we refuse to grant a reduction of the premium within one month from the request for reduction by the policyholder, insofar as the risk of the insured events occurring during the course of the contract has been sensibly and durably reduced and that this reduction would have been granted if the reduction had existed at the time the contract was concluded

    1.6 Termination modalities and effective date

    • 1° The termination of the agreement shall be effected by bailiff's writ, by registered letter or by delivery of the termination letter against receipt.
    • 2° Except in the case referred to in 1.4.3°, the termination shall take effect at the earliest 1 month from the day following the service or the date of the acknowledgement of receipt or, in the case of a registered letter, from the day following its delivery by post.

    1.7 Premiums

    • 1° Payment of the premium

      The premium increased by taxes and contributions is payable in advance at our request or at the request of the insurance intermediary mentioned in the Special Terms and conditions. In accordance with 1.4.2°, payment of the premium is the condition for the guarantee to take effect.

    • 2° Premium credit.

      In case of cancellation of the contract for any reason or in case of reduction of insurance benefits, the premiums paid for the insurance period after the date of entry into force of the cancellation, or the part of the premium corresponding to the reduction of benefits, shall be refunded to the policyholder on a pro rata basis within 15 days from the entry into force of the cancellation or the reduction of benefits.

    1.8 Obligations of the insured

    You must provide us with all useful information and answer the questions put to you as soon as possible to determine the circumstances and extent of the guaranteed benefits. You must take all reasonable measures to prevent and reduce the consequences of a claim.

    You specifically undertake to:

    • to notify Ardennes Étape as soon as possible of the fact that you wish to change your trip or that you are unable to leave on your trip for some covered reason, so that it can prepare a cancellation invoice for you to provide to us for reimbursement;
    • inform us as soon as possible of the reason for your incapacity to travel and provide us with the statement which will be sent to you by our distributor following a cancellation request made to Ardennes Étape
    • send us a copy of the reservation and the invoice of your trip containing the general conditions of the travel contract or any other document proving the trip as well as proof of payment.
    • provide us with the original cancellation invoice drawn up by your travel agent or tour operator.
    • provide us with all evidence, statements and documents stating the reason for the covered cancellation.
    • comply with the obligations specific to the services requested and specified in this contract.
    • correctly answer our questions related to the insured events.
    • inform us in detail of any other insurances having the same object and bearing the same risks as those covered by the present agreement.
    • provide us with the original supporting documents of your guaranteed expenses.
    • provide us with the receipt of your declaration of theft to the authorities if the theft gives rise to a guaranteed claim.
    • surrender to us the originally planned and cancelled trip.
    • take all necessary and useful measures to minimize the modification or cancellation costs.

    1.9 Non-compliance with your obligations

    If you are in breach of the obligations listed under 1.8, we may:

    • reduce the performance due or recover our total expenses from you in the amount of our loss.
    • refuse the performance due or recover the total sum of our expenses from you, if you have fraudulently breached your obligations.

    1.10 Insurer’s right to check

    The insured acknowledges the insurer's right to check all statements made by the insured and/or all documents submitted by the insured.

    We reserve the right to appoint a control doctor and request the list of prescribed drugs in case of medical problems.

    1.11 Underwriting of different insurance policies with the insurer

    If the policyholder subscribes to several policies covering the same risks, the terms and conditions of the policy with the highest guarantees will apply. The guarantee can never exceed the sum insured regardless of the number of contracts the policyholder subscribes to.

  • Art. 2. The guarantee « Travel Modification »

    2.1 Scope of the guarantee

    Within the limits of the maximum amount per trip guaranteed in the Special Terms and Conditions and in accordance with the type of contract subscribed (see Art.1.1), Europ Assistance undertakes to cover the travel modification costs invoiced by the Ardennes Etape as provided for in the contractual conditions of the trip or holiday in relation to the transformation or modification of the booked trip or holiday as a result of one of the events covered (see art. 2.3) and provided the nature of the costs is guaranteed in the type of contract subscribed (see art. 1.1) .

    The cost of transformation or modification cannot exceed the cost that a cancellation of the trip would amount to.

    The guarantee applies in the context of both a private trip or stay and a professional trip or stay.

    2.2 The guaranteed amounts

    Europ Assistance reimburses 100% of the travel modification costs contractually charged by Ardennes Etape for the transformation or modification of the travel or stay, within the limits of the maximum amount guaranteed in the Special Terms and Conditions and provided that the nature of the travel modification costs is guaranteed in the type of contract subscribed (see Art. 1.1)

    2.3 Covered events

    • 1)
      • a) Illness, accident, death, urgent transplant of an organ (as donor or recipient)
        • of the insured person;
        • of his/her partner as well as any other family member usually living under the same roof with the insured, or of relatives or relatives by marriage of the insured up to the 3rd degree;
        • of the person in whose house you were going to stay for free abroad;
        • of the babysitter who was to look after your minor children during your trip;
        • of the babysitter who would look after one or several disabled persons during your trip if they are beneficiary(ies) of the contract.
      • b) Europ Assistance covers the consequences of a chronic or pre-existing illness or health condition of the insured person if the attending physician certifies that the insured person was medically able to travel, both at the time the trip was booked and at the time the contract was taken out, and on the date of departure it appears that the insured person is no longer able to start the trip because he/she requires medical treatment.
    • 2) If, for medical reasons, the insured cannot obtain the necessary vaccinations for the planned trip.
    • 3) Medical complications or medical problems immediately linked to the pregnancy of the insured or a family member up to the 3rd degree, including premature birth at least 1 month before the scheduled date.
    • 4) Pregnancy of the insured or of his/her travel companion, provided that the trip is planned during the last 3 months of the pregnancy and this pregnancy was not known at the time of booking
    • 5) Redundancy by the employer, for economic reasons, of the insured or his/her partner provided that this redundancy occurs after the start of the cover and after booking of the trip.
    • 6) Involuntary unemployment of the insured and/or his/her partner lasting more than one month as a result of partial or complete closure of the company where the insured and/or his/her partner were employees provided this takes place after the start of the cover and after booking the trip.
    • 7) Cancellation of the insured's holidays already granted by the employer due to illness, accident or death of the colleague who Temporary Cancellation policy Ardennes Étape 9 should have replaced the insured during the trip. The insured must provide a certificate from the employer proving that the substitute was designated before the date the trip was booked, as well as a medical certificate of work incapacity or, if applicable, a death certificate for the substitute at work.
    • 8) The necessary presence of the insured and/or his/her partner exercising a liberal or self-employed profession as a result of the unavailability of the person who should have replaced the insured and who was designated before booking the trip, due to illness, accident or death. The insured must provide a medical certificate or a death certificate from the substitute and prove that the substitute was appointed before the date the trip was booked.
    • 9) The mandatory presence of the insured and/or his/her partner due to a new employment contract for a duration of at least 3 consecutive months, insofar as this period coincides fully or partially with the duration of the trip. The new employment contract must be signed after the start of the cover and after the date on which the trip was booked.
    • 10) The mutation for professional reasons of the insured person, which requires the relocation of the insured person, provided it takes place after the start of the cover and after the booking of the trip, making the trip impossible. You must submit to us a proof of change of domicile approved by the municipal authorities, as well as a mutation certificate from the employer.
    • 11) The bankruptcy of your company.
      You must provide us with proof of the bankruptcy of your company
    • 12) The summoning of the insured and/or his/her partner:
      • for humanitarian aid or a military mission.
      • as a witness or juror before a court of law.
      • for performing legal acts before official institutions when adopting a child.
    • 13) The re-examination that the insured must take at the end of the school or academic year, which cannot be postponed and which the insured must take in the period between the date of departure and 30 days after the date of return from travel.
    • 14) The divorce of the insured, if the proceedings before the court were initiated after the booking of the trip and on presentation of an official document.
    • 15) The separation of the insured. One of the partners must present an official document of change of domicile dated after the trip was booked.
    • 16) Serious material damage (more than EUR 2 500) to the home, secondary residence or professional premises, owned or rented by the insured and/or his/her partner, occurring within the 30 days before the departure date of the trip. The damage must have been caused by fire, an explosion, water damage, theft or attempted theft. You must present us with the expert report and/or an invoice for repairs.
    • 17) The home- or car-jacking of the vehicle belonging to the insured and occurring in the week before the departure date. You must submit a copy of the police report to us.
    • 18) The total loss or immobilisation of the private vehicle belonging to the insured person and/or his/her partner as a result of a road accident, theft or fire during the week before the departure date. For the theft, you must submit a copy of the police report to us. For accidents and fires, you must provide us with proof of the damage (police statement, statement from your insurer, etc.). However, the guarantee does not apply to engine breakdown.
    • 19) The inability to board as scheduled in the travel agreement in Belgium or in a neighbouring country (Germany, the Netherlands, Luxembourg, France ) as a result of total immobilisation on the departure date of any vehicle that transports you and/or your partner due to a traffic accident on the way to the place of boarding (station,port, airport). The cover is extended to any delay caused by a breakdown of the vehicle concerned on the departure date, provided that you can submit a certificate or invoice from a breakdown service or assistance organisation. However, events that cause the immobilisation less than an hour before the scheduled boarding time, will not be considered for this cover
    • 20) The refusal by the authorities of country of destination to issue a visa for the insured, his/her partner or a relative in the 2nd degree travelling with the insured, insofar as the refusal is not the result of a late application by the insured.
    • 21) The theft in the 7 days before the departure date of the visa or passport necessary for the trip of the insured, his/her partner or a relative in the 2nd degree travelling with the insured. You must provide us with a copy of the declaration of theft from the authorities.
    • 22) Death of your dog, cat or horse in the 7 days prior to the departure date.
      You must provide us with the following documents:
      • a death certificate from the veterinarian;
      • a declaration of good health of your animal on the day you booked the trip;
      • a document that proves that the animal belongs to you
    • 23) The unexpected eviction from the house the insured is renting insofar as the cancellation of the rental had not been made known at the time the trip was booked. The actual eviction must take place within 30 days before the scheduled departure date. You must provide us with a copy of the eviction order, drawn up by the owner.
    • 24) The unexpected eviction from the retirement home of a relative up to the 2nd degree insofar as it was not known at the time the trip was booked. The actual eviction must take place within 30 days before the scheduled departure date. You must provide us with a written certificate from the manager of the care facility.
    • 25) The running away, kidnapping, abduction or disappearance of:
      • the insured person;
      • his/her partner as well as any relative usually living under the same roof, or his/her parents or relatives up to the 2nd degree. You must provide us with a copy of the declaration to the competent authorities.
    • 26) The cancellation of the honeymoon due to the cancellation of the insured's civil marriage ceremony. You must provide us with a cancellation declaration drawn up by the municipal authorities where the marriage ceremony would have taken place.
    • 27) The cancellation by a person listed on the same order form for the trip and compensated by the same travel cancellation insurance or by another travel cancellation insurance on the basis of an event insured in the concluded contract.
    • 28) The cancellation of a travel companion listed with the insured on the trip order form as a result of an event insured in this contract, requiring the insured to travel alone or with a single other travel companion also listed on the trip order form.
  • Art. 3. The guarantee « Travel Cancellation »

    3.1 Scope of the guarantee

    Within the limits of the maximum amount per trip or stay guaranteed in the Special Conditions and according to the type of contract subscribed (see art. 1.1), Europ Assistance undertakes to cover the cancellation fees charged by the travel organiser as provided for in the contractual conditions of the trip or stay, in relation to the cancellation of the booked trip or stay due to one of the events covered (see art. 2.3) and provided that the nature of the cost is guaranteed in the contract type subscribed (see art. 1.1) and insofar as the decision to cancel was not taken by the party with whom the booking was made.

    The guarantee applies in the context of both a private trip or stay and a professional trip or stay.

    3.2 The guaranteed amounts

    Europ Assistance reimburses 100% of the cancellation fees contractually charged by the organiser of the trip or stay for the cancellation of the trip or stay, within the limits of the maximum amount guaranteed in the Special Conditions and provided that the nature of the cancellation fees is guaranteed in the type of contract subscribed (see Art. 1.1). The reimbursement is calculated according to and limited to each insured's share in the price of the trip or holiday, regardless of the number of contracts taken out with Europ Assistance.

    The price of the trip or stay stated on the invoice or contract issued to the insured at the time of booking will be the maximum amount of the indemnity insofar as it does not exceed EUR 10 000 per person and per booking.

    3.3 Covered events

    The events covered are identical to those that are listed under " travel modification " See 2.3.

  • Art. 4. The exclusions of the policy Ardennes Etape

    The exclusions apply both to the insured and to the persons whose state of health is at the origin of the request for intervention.

    Any trip or stay of less than 1 night in Belgium is always excluded.

    Are always excluded: damage, illness, state of health, accident or death resulting from:

    • a) pre-existing illnesses in terminal or very advanced stages of persons not insured by the contract at the time of booking the trip or at the time of subscription of the temporary cancellation insurance;
    • b) disorders or events resulting from (1) the consumption of alcohol, to the extent that the alcohol content in the person's blood exceeds 1.2 g/litre of blood, without the consumption of alcohol having to be the sole cause of the disorder or event, or (2) from an acute or chronic use of drugs or any other substance not prescribed by a physician that alters behaviour
    • c) an accident caused by the fact that the driver was in a state of intoxication or under the influence of drugs or narcotics and where the person who is the reason for the application for intervention was a passenger or travelling companion.
    • d) a voluntary intervention in a pregnancy.
    • e) an earthquake, volcanic eruption, tidal wave, flood or other natural disaster.
    • f) terrorist attacks, wars, insurrections, riots, strikes.
    • g) incidents or accidents occurring in the course of motor trials (races, rallies, competitions, endurance trials etc.) where you are present as a driver or to assist a driver.
    • h) thermal, mechanical, radioactive, and other effects resulting from a change in the atomic particles or radiations of radioisotopes.
    • i) financial insolvency;.
    • j) delays caused by recurrent and predictable traffic problems.
    • k) any reason giving rise to cancellation or modification that was known at the time the trip was booked or the insurance contract was taken out, with the exception of the provisions of Article 2.3.1 b) and of Article 4 a);
    • l) events occurring outside the validity dates of the contract.

    and any event not expressly and formally mentioned in this contract.

  • Art. 5. Legal framework

    5.1 Subrogation

    The Insurer is subrogated to your rights up to the amount of any disbursements made under cover provided by us, and can make use of any remedies you may have against third parties.

    Except in the case of willful misconduct, we will not pass the cost on to your descendants, ancestors, partner, direct relatives or in-laws, or against persons living under your roof, guests or members of your domestic staff. We may however pass costs on to them if and to the extent that their liability is underwritten by an insurance policy.

    5.2 Acknowledgement of debt

    You commit to reimbursing within 1 month any amounts for services that are not guaranteed by the contract and that we have given you as an advance.

    5.3 Limitation of actions

    Every cause of action arising from this agreement will prescribe 3 years after the event giving rise to it.

    5.4 Jurisdiction

    All disputes on the present agreement will be settled solely by the competent Belgian courts.

    5.5 Governing laws

    The present agreement is governed by the Law of April 4, 2014 on insurance (Moniteur Belge, April 30, 2014).

    5.6 Complaints

    Any complaints concerning this agreement may be addressed to:

    • the Insurance Ombudsman, Square de Meeûs 35 to 1000 Brussels (info@ombudsman-insurance.be ), without prejudice to the right of the policyholder to institute legal proceedings.

    5.7 Data protection

    Europ Assistance processes your data in accordance with national and European regulations and directives. You can find all information regarding the processing of your personal data in our privacy statement. You can find it at www.europ-assistance.be/privacy . This Privacy Statement contains, inter alia, the following information:

    • Contact details of the Data Protection Officer (DPO);
    • The purposes of processing your personal data;
    • The legitimate interests for processing your personal data;
    • The third parties who may receive your personal data;
    • The duration of storage of your personal data;
    • The description of your rights regarding your personal data;
    • The possibility to lodge a complaint regarding the processing of your personal data.

    5.8 Fraud

    Any form of fraud committed by the insured person in submitting their claim or filling out the questionnaires will result in the insured person losing all rights towards us.
